Student Club & Organization Event Process Forms

These forms are needed for applicable events to allow for a more thorough review and approval by the Student Events Team.  If these forms are not received prior to the event, the event will be declined.

Travel Approval Form

This form is necessary for any off-campus event. Organizations should allow 7-30 days for different types of travel review and approval. This form's approval is dependent on the distance of travel.

Alcohol Approval Form

Any event that includes alcohol must submit this form a minimum of 30 days prior to the event. All events that include alcohol must abide by RIT's Alcohol at Events Policy. This form is approved by the Director of Campus Life.

Fundraiser Approval Form

Any event that includes a fundraiser or fundraiser activity must submit this form a minimum of 7 days prior to the event. The form must include explanation of all activities that will be used to raise money and the organization(s) proceeds will be donated to.

Student Org Brick City Weekend Event Form

Any student organization that wishes to host an event during Brick City Weekend must receive prior approval from the Division of Government and Community Relations. This form will allow GCR to understand the event needs for this event.

Student Club & Org Rock Painting and Chalking Form

Student Clubs and Organizations must utilize this form to submit designs and art work when rock painting and chalking. Reservations require prior approval and spontaneous artwork must be submitted with-in an hour of activity.

Student Org Manual Reservation Exception Form

All student club and organization events must be booked through reserve.rit.edu. This step is important because it allows the Student Organization Events Team to review and approve your event. If you cannot find the specific space on the website, you will need to work directly with the space owner to request an exception to the Student Organization Events Policy. This form must be submitted >10 days prior to the event.

Student Org Risk Management Form

If a student club or organization's event includes a risk that requires review by the Events Team or a content owner, this form must be submitted along with the reservation. this form will allow reviewers to obtain all the necessary details to successfully review the event and provide feedback.

Student Org 12+ Hour/Overnight Approval Form

Student club and organizations may not host events that last more than 12 hours or go past 1:00am without approval from the space owner and the Events Team. This form will gather the necessary information for review.
