2026-2027 Re-Recognition Instructions

Advisors: Please do not complete this form! It should be completed by the student organization officers.

The 2026-2027 re-recognition process will go LIVE Monday, May 11, 2026. To maintain your organization's "active" status for the upcoming academic year, you must complete this form in CampusGroups with attached questions. Please note: If you requested a budget for next year, you must complete your re-recognition by 11:55pm on Tuesday, June 30th! Failure to complete will result in your club not being allocated a budget if you requested one.

**This process does not apply for sororities and fraternities managed by Fraternity & Sorority Life.**

In order to prepare, please make sure all officers have been updated on your CampusGroups page before Sunday, May 10th so that you will be able to access the form. On Monday May 11th, your CampusGroups page will not be able to be accessed until you complete your re-recognition process. Anyone listed as an officer on your page will have access to the process so please make sure all officers have been updated on your page.

Instructions to complete re-recognition are as follows:

Step 1 (New This Year): All organizations will need to complete a yearly risk-assessment survey and attest to the confirmation of completion on your Re-Recognition form found on the last page of the survey. This is to help us have a better understanding of your organization's activities. You can complete the assessment HERE before May 11th!

Step 2: Beginning Monday, May 11th you will need to log into CampusGroups and find your organization's page. When you click on your organizations' page, you should see a screen that looks like this:

Step 3: On this page, you will need to record your organization's mission and upload your current constitution. Please make sure your constitution is up to date and includes information outlined in this example constitution found HERE.

Major Update: New Mandatory Language for Student Club and Organization Constitutions. Please add the language italicized below to your organizations constitution:

ARTICLE **: ADHERENCE TO UNIVERSITY POLICIES

* Section 1: Hazing

In accordance with Federal and State law (§ 120.16-17), and University Policy (D.18 Section IV-J), student clubs and organizations are prohibited from any hazing or hazing related activities. All student clubs and organizations are required to report all hazing incidents or activities they are in the presence of or have knowledge or awareness of. Hazing activities should be reported to RIT Public Safety by contacting the office at 585-475-2853 or by text at 585-205-8333. Other resources regarding hazing and hazing prevention can be found on the RIT Hazing Prevention website.

*Section 2: Anti-Discrimination Clause

This organization shall not discriminate on the basis of sex, race, color, sexual orientation, gender identity and gender expression, religion, age, marital state, national origin, disability or veteran status. This policy will include but is not limited to, recruiting, membership, organization activities or opportunities to hold or run for club office.

*Section 3: Statement of Compliance with University regulations

This organization shall comply with all university and Center for Campus Life policies and regulations, and local, state and federal laws.

Step 4: Please select your INCOMING president, treasurer and advisor for the upcoming academic year. You can type in names or email addresses and CampusGroups(CG) will look them up. If you cannot select your advisor, this means they do not have CG access so they will need to complete the advisor agreement form found HERE. You will also need to include 8 additional members that were not previously listed as an officer. If a member is not populating in the field, it is because they are not a currently enrolled student. Alumni/staff/faculty cannot be club members. Please email clubs@rit.edu if you have any problems with this process.

Step 5: Proceed to the next page and answer the following questions:

1. Please list the 5 students that should have EMS access for 2026-2027. This access allows students to register events through reserve.rit.edu. Reminder for 2026-2027 - All officers requesting EMS access will need to complete the EMS Certification Training in order to reserve events.

2. Please list and describe 3 unique programs/events that your organization held during the 2025-2026 (the past academic year). These events must have been registered at reserve.rit.edu or you must show proof that the event took place. These need to be previous events, not future events for next year.

4. Please list any organizational highlights for the year including but not limited to competitions, conferences, awards, events, programs, etc.

5. Please describe the strengths of your organization.

6. Please describe the challenges your organization faced this year and how you hope to improve them next year.

7. Please list two goals for your organization for the next academic year 2026-2027.

8. Please let us know what topics you would like to see during our Pause for Growth training series for 2026-2027.

Step 6: On this page, if applicable, please:
-List all current storage spaces your organization has both on and off-campus.
-Attest to the completion of your Risk Assessment survey

Step 7: After submission, a staff member will review your answers and approve or deny your form. If denied, a staff member will reach out to you directly. Once approved, you will receive an automated confirmation email confirming your submission has been approved.
